1. Studio Booking & Cancellations

Booking Confirmation

A session is not considered confirmed until a 50% non-refundable deposit is received. MLP VISUALS reserves the right to release unconfirmed holds to other clients.

Cancellations & Rescheduling

• You may reschedule or cancel your session without penalty up to 48 hours prior to your scheduled start time.
• Changes made within 48 hours of the session start time will result in the forfeiture of your deposit. A new deposit will be required to book another slot.
• If you fail to show up for your session ("No-Show") without prior notice, your deposit is forfeited, and you may be blocked from future bookings.

Tardiness

Billing begins exactly at your scheduled start time. If you arrive late to a session, you will still be billed for the entire booked duration, and the session will end at the originally scheduled time out of respect for the next client.

2. Payment Terms

• All remaining balances must be paid in full at the end of the session.
• MLP VISUALS photographers will not release final edits, retouched images, or session RAW files to your galleries until the invoice for the session is paid.
• We accept all major credit cards. Payments are securely processed by our third-party payment gateway, Stripe.

3. Studio Rules & Etiquette

To maintain a safe and creative environment, all clients and their guests must adhere to the following rules:

• Guest Limit: Clients are allowed a maximum of 4 guests per session. Additional guests require prior approval from studio management.
• No Smoking: Smoking of any kind (including vaping) is strictly prohibited inside the shooting bays, dressing rooms, and hallways.
• Food & Drink: All food and liquids must be kept away from cameras, lighting equipment, and lenses. Covered beverages may be placed on designated side tables.
• Zero Tolerance: MLP VISUALS has a zero-tolerance policy for illegal substances, weapons, or aggressive behavior. Management reserves the right to terminate a session immediately without a refund if these rules are violated.

4. Equipment Damage

The client assumes full financial responsibility for any damage to studio equipment, cameras, lighting, or the facility caused by themselves or their guests due to negligence, misuse, or failure to follow the studio team's instructions. A repair or replacement fee will be billed to the card on file.

5. Intellectual Property & File Storage

Ownership

Upon full payment of all outstanding invoices, the client retains 100% ownership of the copyright and final images produced during the session at MLP VISUALS.

File Retention in Your Galleries

MLP VISUALS provides cloud storage (Galleries) as a courtesy. Large session files (e.g., layered PSD files, RAW batches) are stored on our servers for 6 months following the date of your session. After 6 months, these large files will be permanently deleted. Final galleries and edited images will remain in your galleries indefinitely.

It is your responsibility to download and back up your session files within the 6-month window. MLP VISUALS is not liable for lost data.

6. Limitation of Liability

MLP VISUALS is not responsible for any indirect, incidental, or consequential damages resulting from your use of the studio or our web platform. We are not liable for the loss of data, image files, or personal belongings brought into the facility.

7. Modifications to Terms

We reserve the right to update or modify these Terms at any time. Significant changes will be communicated via email or an alert in the Client Dashboard. Continued use of MLP VISUALS services after such changes constitutes your acceptance of the new Terms.
